eGroupware is flexible and free to use collaborative software, which will help you to interact easier with your team members. eGroupware provides in-built tools like group calendar, address book, e-mail, accounting, inventory, and more. These tools share a common user store and a flexible access control system to control information sharing.

phpGroupWare is a web-based collaborative application, written in PHP. It also comes with many pre-configured applications, like calendar, address book, todo list, notes, email, newsgroups, file manager, etc.

Server requirements

EgroupWare and PHPGroupWare run on Linux or Windows web server with PHP 4.3 or higher, and MySQL database 4.1 or 5. For the email operation, you would need SMTP, POP3 or IMAP Servers. All these are available on SiteGround web hosting package.

eGroupware Tutorial: eGroupware Installation

How to install eGroupware on your website?

You can install eGroupware software by following these Step-by-step instructions:

Step 1: Download the installation file from Egroupware Downloads page by clicking on "Follow this link to download the latest stable release". You should choose the platform independent release in tar.gz, tar or zip format. Then you will have the latest stable release of the script in your computer.

Step 2: Upload it in public_html folder of your account. You can do that through FTP with a client like FileZilla or through cPanel->File Manager->Upload file(s). In the second way, after the installation is completed, the file script will show if you go to the main page of your site (www.YourDomain.com). You can also install eGroupware in a subfolder - simply upload the installation file in the folder: public_html/subfolder. The eGroupWare installation will then be accessible at: www.yourdomain.com/subfolder.

Step 3: When you are in cPanel->File Manager, please navigate to the uploaded file and extract it by clicking on "Extract File Contents". Another option is to extract the files on your local computer and then upload them in the desired folder through FTP.

Step 4: Once the files are extracted in the desired folder, you should create a MySQL database for eGroupWare. Please, learn how to create a MySQL database and user here.

Step 5: You should open the .htaccess file from the installation directory and comment all the lines, which start with PHP_value. You should put the sign "#" in front of them. Then you should take these variables and copy then in a newly created file, called PHP.ini. The content of the PHP.ini file should be:

session.use_trans_sid = Off

Then you should copy this file under every subfolder of the eGroupWare installation directory.

Step 6: Change the file permissions for the eGroupWare installation directory to 755 through cPanel->File Manager.

Step 7: Navigate to the web address of your eGroupWare installation and run the installation tests. Once they are completed you should navigate back to "Setup Main Menu" and click on "Skip the installation tests (not recommended)". However, if there is a problem, which occurs during the tests and you can not fix it, please post a ticket from your Customer Area->Get support->Post & Review tickets->Add new ticket. Then a member of our Technical Support Team will assist you with the installation of the script.

Step 8: Now you are ready to set up the primary configuration of your eGroupWare script installation.

Settings

The first two variables (Server Root and Include Root) are automatically set by the script and you should not change them unless you know what you are doing. Then you should set the login details for the admin user for the header manager. This user has the rights to change the primary configuration of the script after the installation is completed. The next field allows limiting the access to the setup to desired IP addresses or hostnames. You can leave the next nine fields unchanged, since they contain default values. Then you should set the database name, the database user and the password. You should use the ones, which you have set in Step 4 from the installation instructions. Once it is completed you should set the login details for the configuration user. The last step is to write the configuration and continue to the setup section.

Step 9: In the setup section you can reconfigure the script through the "Header Admin Login" or to setup the script through the "Config Admin Login".

Step 10: Once you login with the configuration login details, you will be able to setup your applications, included in the script.

First you can select the desired char-set for your database. Then you should install the applications. After this recheck the installations.

Step 11: Navigate to step2 and edit the current configuration of the script applications, which you have installed:

In the path information section you should specify the absolute paths to two folders, called files and backup, which should be created through your File Manager in the root folder of your account. They should be on the same level as the public_html folder. If the user of your account is "user" (the one, which you use to log in your cPanel), then the absolute paths will be:

/home/user/files

and

/home/user/backup

You can leave the Host Information unchanged, since it is automatically configured by the script. However, if you install the script outside the account, which you have with SiteGround, you could edit this section.

The Standard e-mail server settings would look like the following ones:

POP/IMAP mail server hostname or IP address: mail.yourdomain.com
Mail server protocol: IMAP or POP-3
Mail server login type: standard (login-name identical to the eGroupWare username)
Mail domain (for Virtual mail manager):
SMTP server hostname or IP address: mail.yourdomain.com
SMTP server port: 25
User for the SMTP authentication (leave it empty if no auth required): emailuser@yourdomain.com
Password for the SMTP-authentication: the corresponding password, which you have set during the creation of the e-mail account in cPanel->Mail->Manage/Add/Remove accounts.

Troubleshooting Tips: Please mind that you should change yourdomain.com with the actual domain, which you have used in Step 2 of the installation instructions. You should also change emailuser@yourdomain.com with an existing e-mail account, which you have created through cPanel->Mail->Manage/Add/Remove accounts.

You can leave the rest of the fields with their default values and navigate to the "Save" button. In this way you have completed the setup of your script. Now you should create an administrator user for it.

Step 12: You can create the administrator user by clicking on "Create admin account button". Once you are ready, you can navigate to the main URL of your eGroupWare installation. You have successfully completed the installation procedure.

The other options in the setup part allow you to change the default language, to manage the installed applications, which are included in the script, to add new applications or uninstall existing, to create and restore backups of your script installation.

The most popular eGroupWare applications

Once you log in the with the admin account in your eGroupWare web site, you can manage the available applications, which are included in the script.

The first icon is labeled "Admin" and allows you to set the configuration of the different applications. There you can also manage user accounts and groups, the global script configuration, view the log files, create and restore backups. You can add custom fields and manage the global categories for the different applications.

If you navigate to the emailadmin section, you can set the default address of the sender, the SMTP and the IMAP/POP3 configurations.

Here is a list and a brief description of the most popular eGroupWare applications:

FelaMiMail FelaMiMail is a user friendly e-mail client. It allows you to send messages through the SMTP server and to receive through the IMAP server. The settings, which you have to configure in the emailadmin are as follows:

SMTP server: yourdomain.com
Port: 25
Use SMTP authentication. With the following login credentials:
Username: emailuser@yourdomain.com
Password: the corresponding one.

Troubleshooting Tips: Please mind that you should change yourdomain.com with the actual domain, which you have used during the installation process. You should also change emailuser@yourdomain.com with an existing e-mail account, which you have created through cPanel->Mail->Manage/Add/Remove accounts.

Besides all the standard operation of composing, sending and receiving, this application allows you to set filters and to add e-mail addresses to your address book.

Calendar Calendar - includes the traditional holidays. You can also make your own weekly and monthly schedules and add custom events. The changes will appear in the main web page. You can set alarms for some desired events.

Addressbook Addressbook - you can create your own address book and include some important details like the Full name of the contact, the company name, the phones and the e-mail address. You can export and import the address book data and add VCards.

ProjectManager ProjectManager - allows you to create your own projects and to calculate the estimated value of them. You can list, add, edit, and delete projects and project elements.

InfoLog InfoLog - it is a manager, which allows you to create todo lists, notes and supports all the aspects of a CRM (customer-relation-management).

Resources Resources - allows you to manage the available resources and inventory like building, storages and others. It has a booking functionality integrated.

TimeSheet TimeSheet - a time tracker application. It works with the ProjectManager. You can define and check periods of time.

Manual/Help Manual/Help - provides you with a detailed script manual. There you can find answers to all the questions related with the script functionality.

Filemanager Filemanager - allows you to copy, move, delete, rename and manipulate the files and the folders as every standard file manager, which you use.

SiteMgr SiteMgr - allows you to build your web site from a template. There you can select a new template and manage it. The available list of templates can be used by visitors to change the visual appearance of the web site during the browsing. You can download free templates from Egroupware official site.

Unpack the downloaded template in your templates directory under the eGroupWare installation directory: (/sitemgr/sitemgr-site/templates). Then you can set the new template, which you will use for your eGroupWare web site from SiteMgr->Configure Website->Template select.

Work-Flow Work-Flow - it is used to create and manage workflow processes through a GUI (Graphical User Interface). The goal of this application is to provide a reference implementation, stable and complete to what can be done with this API (Application Programming Interface).

Wiki Wiki - it is an eGroupWare version of a wiki script. It allows users to create and edit Web page content.

Bookmarks Bookmarks - allows you to create and share your own lists with bookmarks. You can set the URL and some details about the web page, which you want to add to the list.

News Admin News Admin -in this section you can create, edit, publish in a define category and read news.

Pools Pools -allows you to create your own pools and collect people's opinion on a define subject. You can add surveys, questions and answers.

KnowledgeBase KnowledgeBase - you can create and use your own knowledge base.

eTemplate eTemplate - allows you to create your own eGroupWare templates. This application has a detailed tutorial and reading it you will understand how to build your own templates. It is located on the left menu of the eTemplate section page.

Translation tools Translation tools - the application is created for developers and translators. It has the following features:

  • shows all phrases from the en lang-file, the already available translations and allows to enter a translation;
  • searches for new phrases in the source code;
  • adds new phrases to a lang-file;
  • changes the application name of a phrase;
  • lowercase and alphabetically sorts the phrases / message_id ;
  • writes (if the web server has write-access to the setup-dir or to the file) or downloads the changed lang-file;
  • updates the database without running the setup to check / see your translations
  • uses multi-line text areas for long messages;
  • reads the phrases from the following files hook_{admin|preferences|sidebox_menu|acl_manager} (they contain no lang-calls)

phpGroupware Tutorial: phpGroupware Installation

How to install phpGroupware on your website?

You can install phpGroupware software by following these Step-by-step instructions:

In this section you should only specify the absolute path to a folder, called files, which should be created through your File Manager in the root folder of your account. Step 11: You can create the administrator user by clicking on the "Click Here to setup an admin account and (optionally) 3 demo accounts" link. Once you are ready, you can navigate to the main URL of your eGroupWare installation. You have successfully completed the installation procedure. The other options in the setup part allow you to change the default language and to manage the installed script applications.

phpGroupware Tutorial: phpGroupware Applications

The most popular phpGroupWare applications

Once you login with the admin account in your PHPGroupWare web site, you can manage the script applications. First you can check and modify their configuration through the admin section.

Once you are ready with the applications configuration you can start to use them. The available applications are:

E-mail E-mail - this is a webmail client, which allows you to send and receive messages.

Calendar Calendar -.You can make your own schedules for a week, a month or a year.

Addressbook Addressbook - you can create your own address book. You can define categories of your contacts, import and export the contacts, add VCards and perform an alternative CSV import.

InfoLog InfoLog - it is a manager, which allows you monitoring of some processes with their description, the start and the end date, the person who is in charge and other specifications.

Notes Notes - this application allows you to create and edit notes in different categories.

NNTP NNTP -with this application you can create, read and modify all the latest news.

ToDoList ToDoList - allows you to shape your daily schedule.

FileManager FileManager - allows you to copy, move, delete, rename and manipulate the files and the folders as every standard file manager, which you use. Through it you can create files and folders, upload and download files.
